Kissflow: The Good and the Bad
Determining whether Kissflow is the right workflow management software package for you is easier if you understand its strengths and weaknesses. We’ll break down the areas where Kissflow excels and where it could use better features.
What Kissflow Is Good At
As we mentioned earlier, Kissflow is an extremely versatile software package for workflow management. Here are some of the greatest strengths of Kissflow.
Massive library of templates and apps: Kissflow has over 400 templates available. You can use these templates to create automated workflows without investing significant time. When a template you need doesn’t exist, Kissflow also has drag-and-drop no-code tools, so you can create more sophisticated workflows without needing to understand coding.
When you use Kissflow templates, you can easily edit the templates to meet your specific needs. You might use a template to track your purchase requests, your sales pipeline, any incidents or bugs you need to track in your processes, or HR requests from your employees.
Kissflow also provides its own app store, where you can install and use pre-built apps to manage employee goals, team goals, and performance reviews. Some of these apps are free for you to use.
Strong integration capabilities: Kissflow integrates with popular tools like Gmail, Slack, Dropbox, HubSpot, and Mailchimp. It also integrates with Zapier, so if you are a Zapier subscriber, this could open up your Kissflow data for integrations with thousands of other apps.
You can also run automated integrations within Kissflow. Certain actions can trigger the integration automatically, saving your team time versus figuring out when to run the integration manually.
Should you have any problems with the integrations you are running, Kissflow maintains a report of all integrations that occurred and those that failed. You then can use this report to determine whether you need to run any integrations manually to counteract a failed integration.
Smart form automation: Creating dynamic forms that you can use in Kissflow is easy, thanks to its drag-and-drop interface. You can use Kissflow’s forms to collect information and store it so team members can access it quickly.
Kissflow dynamic forms contain sections you can use to collect related information about employees, customers, or potential hiring candidates. One section may collect contact information, for example. When building the sections in your Kissflow form, you can create descriptive names for the various sections to ensure the information the form requests is clear.
Within the sections, you’ll then add fields to your dynamic form. The fields collect and store the specific information that people enter. You can specify fields as basic, where you might collect standard information in a text box. Specify other fields as advanced for having Kissflow pull data in from other areas to help complete the field.
Versatile security settings: You can create specific rules for the security settings on your dataset within Kissflow. This is another area where Kissflow provides versatility in how you protect and share the data.
Kissflow’s default security setting allows all workflows to have automatic access to all data you are storing in Kissflow. However, you can ensure your data remains more secure by limiting which flows have access to it. You can also limit which fields can share data, allowing you to protect this type of data.
It does take a little more time to manually set up these security settings, but it can be an invaluable tool for protecting your data.
Customizable analytics and reporting: Kissflow has several options for collecting data and generating reports. This information gives you insights into various aspects of your company’s total workflows or the workflows for one of your teams.
Kissflow can use the analytics it collects to generate various reports about things like how team members use Kissflow’s apps. You also can generate reports that focus on information about the progress of individual projects.
What Kissflow Is Lacking
Even though Kissflow has some strengths, nothing is perfect for everyone. Here are some areas where Kissflow could use some improvement.
Not made for small teams: If you have an extremely small team and/or fewer than 20 employees, Kissflow will not be a price-effective option for you. The most basic pricing tier with Kissflow, called the Small Business tier, requires a minimum of 20 users and bills for that number no matter how many users you have.
The middle pricing tier, Corporate, requires a minimum of 100 users. Extremely small teams simply aren’t going to receive a good value with Kissflow because they will pay for licenses that they won’t use.
Additionally, Kissflow does not offer a free tier that you can use to try the software package. With other workflow management software, a limited free forever tier may serve the needs of a really small team well without the team needing to subscribe. (However, you can request a free trial for Kissflow before subscribing.)
Outdated documentation: Some of Kissflow’s how-to and help documents don’t appear to be completely current. For example, some of them still contain the previous company name of OrangeScape. That doesn’t necessarily mean the documentation is incorrect, but seeing fully up-to-date information would be more reassuring.
Kissflow is continually updating its documentation, so we’d eventually expect everything to be accurate. However, it is disappointing to run into help documents that clearly haven’t had an update performed on them recently.
Few communications tools: Unlike some other workflow management software tools, Kissflow’s communications options are lacking.
Kissflow does offer an announcement tool to give team members a heads-up regarding upcoming deadlines. You also can create discussion channels and invite certain team members to be part of the channel.
However, these communications options simply aren’t as strong or feature-rich as some other workflow management software options. ProofHub, for example, allows live chat.
However, you can integrate Kissflow and Slack to enhance the communications capabilities in Kissflow.
Kissflow Options and Pricing
With Kissflow, you can select among three pricing tiers.
- Small Business: The Small Business tier costs $15 (annual plan) or $18 (monthly plan) per month per user, with a minimum of 20 users required.
- Corporate: The Corporate tier costs $20 per user per month, with a minimum of 100 users required. You can only pay annually with this tier, which works better for growing companies.
- Enterprise: The Enterprise tier allows for custom integrations. You must contact the Kissflow sales team for a custom price quote.
The Kissflow workflow management software has a number of particular use cases in which it works especially well.
Through its app development features, Kissflow helps you automate processes related to workflow management. You have more time to focus on other tasks by cutting down on repetitive steps.
Kissflow allows you to create your own apps through a no-code process, which is ideal for those who want to be up and running faster. The Application Builder simplifies the building of apps with a drag-and-drop process.
Should you have a specific need that’s a little more complex, you also can create apps through your own coding. Kissflow can help you find bugs in your apps while making the development process smoother.
Use templates within Kissflow to allow your team members to design workflows that help with the specific business processes they need. Templates can help create automated workflows for generating reports and studying analytics, for example.
Kissflow refers to the use of these templates as citizen development processes. They allow team members to create precise workflow processes themselves, even when they don’t have coding experience.
Using technology in a smart way is part of the benefit that Kissflow provides for you. Rather than just throwing money at various forms of technology, Kissflow aims to help teams spend their money wisely. Use Kissflow to align your business objectives to your workflow management processes.
Kissflow’s easy-to-use interface attempts to help your business create a culture where employees embrace technology rather than resist it. By making Kissflow easily usable for team members with varying levels of experience with this type of software, they’re more likely to take advantage of its features.
Kissflow’s Procurement Cloud feature is fully customizable, allowing your company to manage your procure-to-pay process. With Kissflow, you can simplify tracking a variety of processes related to procurement, including:
- Analytics: Keep track of detailed analytics related to your purchasing processes, helping you find ways to make improvements.
- Integrations: Kissflow makes it easier to share the data you collect through the Procurement Cloud with your finance software, helping you find key insights.
- Purchase invoices: Use Kissflow to speed up the process of approving invoices. You can automate three-way matching for your accounting processes by comparing the purchase order to the delivery receipt to the supplier’s invoice.
- Purchase orders: After an approved purchase request, you can issue and generate purchase orders through Kissflow.
- Purchase requisitions: As purchase requests come through, Kissflow helps you track them and eventually approve them, so nothing slips through the cracks.
- Vendor management: Kissflow helps you manage your existing vendors and onboard new ones.
With Kissflow, you can track projects at a high level. Sort the steps in the project by any of three different views of list, Kanban, or matrix. Each view gives you information about the project in a slightly different way.
Kissflow can display information about your projects in various reports that you can share with any team members. Having this information available at a glance simplifies the process of making informed decisions about the project.
Kissflow’s most common potential use case is to provide an end-to-end solution for workflow management across your business.
Sharing data among different departments in your company becomes far easier when using Kissflow. You can also track various business processes across the different departments with Kissflow’s workflow management tools.
Kissflow in Summary
Because Kissflow offers significant control over how the software works, its versatility is perhaps its biggest strength. You can use pre-built templates or no-code automation to simplify creating workflows. You can also create processes with your own coding to deliver complex workflows that match your organization’s needs.
Although Kissflow has some strengths, we did not include it on our top workflow management software list. Kissflow comes up just a little short versus some of our favorite workflow management packages, like ProofHub, Process Street, and Hive.
It’s important to match the particular features you need to the workflow management software you select. Kissflow may fit your needs perfectly. If not, check out our reviews of the best workflow management software options.
