Access Your Most Important Info in Two Clicks or Less

Contact management features typically don’t exist on their own as standalone software. Instead, they’re integrated inside tools that do contact management and a whole lot more—most commonly, they’re within customer relationship management (CRM) software. 

But the biggest problem with CRM software is how complicated (and expensive) it is. 

Many businesses don’t need hundreds of features nor do they want to spend hundreds of dollars a month to get the functionality they need. 

Because of that, we sorted through dozens of tools and filtered out the ones that do too much. 

Instead of a tool that does it all, you want something simple and easy to use—so that’s what we looked for.

There’s no reason (at least that we can think of) to have two records for the same person—this opens up space for errors and miscommunication, especially if you have other people on your team. 

Some contact management tools are smart enough to realize when you have duplicates and automatically merge them together so you don’t have two versions of data floating around. 

Bigin takes the cake for automation features and capabilities, making it an excellent choice if automation is a top priority. 

HubSpot and Monday.com offer a workflow builder but not on the entry-level plans. You can automate some things on the lower tiers, but customizable automations aren’t as flexible as we’d hoped with these two. 

Covve is great if you want automated follow-reminders. Aside from that, you can’t do much else with it. However, Streak scored the worst for automation capabilities across the board—it’s great at what it does, but automating tasks is not one of those things.

Time-Saving Integrations with the Tools You Already Use

Even with a lightweight contact management tool, connecting all of the other software you use to run your business is crucial. Not only does it make your life easier, but it also means you can deliver better experiences without doing more work. 

The point is to save time and centralize information. But it only works like that if it plays well with the platforms you use to talk to your contacts and manage those relationships. 

Ideally, your contact management software can automatically pull info from and add info to all of those tools for you so you don’t have to worry about entering data twice or sending customers all over the place to interact with your business. 

For example, integrating your calendar makes it easy for potential customers and existing clients alike to schedule a time on your calendar without emailing you back and forth. 

You could also integrate a payment gateway to require a deposit before someone can book a spot on your schedule. 

Deep integrations with your email (Gmail or Outlook) can offer detailed information right within your inbox and automatically track conversations within your contact management tool so all of your interactions stay centralized in one place. 

You may even be able to turn on email tracking notifications so you always know when someone’s opened your email but not responded. 

Some tools on our list offer basic built-in email marketing functionality as well. However, you won’t be able to do long automated email sequences like you can with email marketing tools. So, you should also make sure your contact management tool integrates with your email marketing service so you can keep track of all of your leads and interactions in one place. 

If you spend a lot of time on the phone, an integration with your VoIP system means you can automatically record phone calls, attach them to contact records, and track call logs with no extra effort. 

A few of the options on our list have built-in VoIP features if you don’t already have a system in place. However, you do have to buy phone numbers and pay for the minutes you use. 

Customer support teams may want to integrate their ticketing and helpdesk software. 

Doing so means you can attach support inquiries and ongoing conversations directly within your contact management software so you always have a record of every interaction. 

Even if a contact gets in touch with someone new, everyone on your team has all the context they need to deliver an exceptional customer support experience without repeating info or asking the customer to repeat their issues over and over again. 

You should also make sure the software integrates with the forms on your site if you want to use it to manage incoming leads or support inquiries. 

Some offer drag-and-drop form builders you can use to create new forms that you can then embed on your website, instead. Either way, that connection is essential since it’s how contact information seamlessly flows from your website to your contact management system.

For less common integrations, you can use Zapier or open APIs. 

HubSpot is the clear winner for this section with thousands of one-click integrations available. Regardless of the tools you use, you’ll never have to worry about integrating with HubSpot. 

Bigin comes in close behind with seven one-click integrations and a Zapier option with pre-built zaps you can use right out of the box. 

Streak and Covve both integrate with your phone, but are severely lacking in integrations with other tools. However, Streak does have the deepest integration with Gmail, so that’s a huge plus. 

Monday.com only lets you use integrations on higher tiers, which is a major let down. So, it came in last place since they’re inaccessible to smaller businesses that don’t want to upgrade. 

You and Your Team Can Onboard Yourselves

Many CRM tools on the market are so complex that you need personalized 1:1 training from the software provider to get started. There are thousands of features to sift through—way too many things to try to figure out on your own. 

The good news is that contact management software and lightweight CRMs are totally different. 

Regardless of how you plan to use it and your experience level, it should be incredibly easy to get started. If it’s not, we highly recommend trying something else. 

After all, the whole point is simplicity. The providers on our list cut out the bulk of advanced functionality you’re never going to need as a small business or solo user. So, there’s no reason it should take longer than 30 minutes to conquer the learning curve. 

If you find yourself wanting to toss your laptop out the window or pull your hair out in frustration, the tool is probably too complicated for your needs. 

With that said, a steeper learning curve (with something like HubSpot) may be worth it if you plan to grow quickly or know you’re going to need more advanced capabilities down the road. 

HubSpot offers a lot of features on the free plan, so it’s definitely not as easy to learn as everything else on our list. But there’s limitless room for growth, which is something that the other tools simply can’t offer. 

The best way to get started as fast as possible is with pre-built templates you can install and customize as needed. 

Templates allow you to start with a foundation rather than building the entire thing yourself. So, we recommend thoroughly checking out each provider’s pre-made templates to see if there’s one that resembles what you’re looking for. 

If so, configuring your new system will take just a few clicks. Some may require a bit of tweaking to make them work for you, but the process of doing so should be straightforward. 

Even if you end up starting from scratch, configuring your new tool shouldn’t feel like you’re climbing Everest. It should make sense, feel intuitive, and take less than 30 minutes. 

Whether you’re saying goodbye to managing contacts via spreadsheet, sticky notes, notebooks, or any other form of manual contact management, importing your contacts is the next step. 

So, pay attention to how that works. Can you simply upload your spreadsheet and that’s it? Do you need to make changes to your spreadsheet for it to work? Maybe you’ll need to do some manual data entry for non standard information like notes or custom fields. 

Unfortunately there’s not a good way to import sticky notes or notebooks. So, you’ll have to bite the bullet there and enter everything by hand. 

If you want to sync your system with your phone or email account, be sure to look into it before making a decision. Some options don’t let you do this at all, some only give you an all or nothing option, and others let you decide which contacts to bring over. 

Aside from configuring your system, a familiar UI makes for an even better experience, especially if you’ve never used contact management or CRM software before. 

Many of them feel similar to using a spreadsheet—if that’s worked for you so far, we highly recommend sticking with HubSpot or Monday.com. 

Bigin’s setup is a bit different, but won’t take any time at all to get used to. Many people even prefer it’s unconventional setup over the spreadsheet-esque interface because it’s so much easier to use. 

Streak and Covve are totally different UIs altogether. Streak works directly within your Gmail inbox, but it also feels a lot like a spreadsheet so you’ll still have a bit of familiarity. 

Covve is only available on your phone. So as long as you know how to use your phone, learning it will be a breeze.
