He wanted some new ideas on how they could improve their welcome emails.<!--more--><\/p>\n<p>I thought to myself, how could you figure out what the fastest growing companies are sending in their welcome emails?<\/p>\n<p>I forgot about the idea until I came across <a href=\"https:\/\/saas1000.com\">saas1000.com<\/a>, a list of the fastest growing SaaS companies globally.<\/p>\n<p>So, I signed up to the fast growing 618 SaaS companies using a brand new Gmail account and my phone number and website.<\/p>\n<p>Suffice to say, I received a LOT of emails.<\/p>\n<p><img decoding=\"async\" width=\"836\" height=\"88\" src=\"https:\/\/ceblog.s3.amazonaws.com\/wp-content\/uploads\/2017\/08\/10093829\/email-inbox-count.png\" alt=\"i got a lot of emails\" class=\"aligncenter size-full wp-image-31566\" srcset=\"https:\/\/ceblog.s3.amazonaws.com\/wp-content\/uploads\/2017\/08\/10093829\/email-inbox-count.png 836w, https:\/\/ceblog.s3.amazonaws.com\/wp-content\/uploads\/2017\/08\/10093829\/email-inbox-count-300x32.png 300w, https:\/\/ceblog.s3.amazonaws.com\/wp-content\/uploads\/2017\/08\/10093829\/email-inbox-count-768x81.png 768w\" sizes=\"(max-width: 836px) 100vw, 836px\" \/><\/p>\n<p>I analyzed and categorized all these incoming \u201cwelcome emails\u201d.<\/p>\n<p>My question was simple: <strong>what are the patterns in the welcome emails these companies send?<\/strong><\/p>\n<p>What ideas can we find that to help us send better first emails to our customers?<\/p>\n<h2>Stats on SaaS Lead Funnels<\/h2>\n<p>During the experiment, I attempted to sign up to 618 different SaaS products. It was interesting to see some patterns in the process.<\/p>\n<ul>\n<li>264 of the products allow me to create an account and start using their free trial straight away.<\/li>\n<li>238 of the Saas products were for a product demo given by a sales rep.<\/li>\n<li>82 of the websites wouldn\u2019t let me sign up with a Gmail email address.<\/li>\n<li>21 companies required a credit card during the sign-up.<\/li>\n<li>12 SaaS companies required phone verification before signing up.<\/li>\n<\/ul>\n<p>Clearly, a self-service free trial model is dominant. However, a large chunk of SaaS products funnels new leads through a sales rep.<\/p>\n<p>It\u2019s also interesting that over a 100 companies choose to put in place barriers to sign-up such as only allowing business emails, asking for credit cards or requiring phone verification.<\/p>\n<h2>1. Consumer Success Emails<\/h2>\n<p>Typically, I found that these were SaaS products that had a self-service sales model: You sign up for a 30-day free trial and decide for yourself if the product is for you.<\/p>\n<p>For example, <a href=\"https:\/\/autopilothq.com\">autopilot<\/a> mixes a CTA to install the tracking code along with links to their webinars, documentation and \u201cFlight School\u201d.<\/p>\n<p><img decoding=\"async\" width=\"719\" height=\"1192\" src=\"https:\/\/ceblog.s3.amazonaws.com\/wp-content\/uploads\/2017\/08\/10093819\/autopilot-welcome-email.png\" alt=\"autopilot welcome email\" class=\"aligncenter size-full wp-image-31561\" srcset=\"https:\/\/ceblog.s3.amazonaws.com\/wp-content\/uploads\/2017\/08\/10093819\/autopilot-welcome-email.png 719w, https:\/\/ceblog.s3.amazonaws.com\/wp-content\/uploads\/2017\/08\/10093819\/autopilot-welcome-email-181x300.png 181w, https:\/\/ceblog.s3.amazonaws.com\/wp-content\/uploads\/2017\/08\/10093819\/autopilot-welcome-email-618x1024.png 618w\" sizes=\"(max-width: 719px) 100vw, 719px\" \/><\/p>\n<p>Alternatively, you can add a story to the CTAs. For example, <a href=\"https:\/\/www.invisionapp.com\/\">InVision<\/a> welcomes you with three different videos to watch in order:<\/p>\n<p><img decoding=\"async\" width=\"624\" height=\"702\" src=\"https:\/\/ceblog.s3.amazonaws.com\/wp-content\/uploads\/2017\/08\/10093841\/invision-welcome-email.png\" alt=\"invision welcome email\" class=\"aligncenter size-full wp-image-31571\" srcset=\"https:\/\/ceblog.s3.amazonaws.com\/wp-content\/uploads\/2017\/08\/10093841\/invision-welcome-email.png 624w, https:\/\/ceblog.s3.amazonaws.com\/wp-content\/uploads\/2017\/08\/10093841\/invision-welcome-email-267x300.png 267w\" sizes=\"(max-width: 624px) 100vw, 624px\" \/><\/p>\n<p>Tomasz Tunguz <a href=\"https:\/\/tomtunguz.com\/from-displacer-to-disruptor\/\">divides the SaaS software world<\/a> into:<\/p>\n<ol>\n<li>Systems of record<\/li>\n<li>Workflow apps<\/li>\n<\/ol>\n<p>The last one &#8211; workflow apps &#8211; enable people to do work.<\/p>\n<p>A welcome email <i>that helps people do that will mean you\u2019ll be more successful<\/i>.<\/p>\n<p><a href=\"https:\/\/mailchimp.com\">MailChimp<\/a> gives you an high-level overview of how your MailChimp account works in their first welcome email:<\/p>\n<p><img decoding=\"async\" width=\"683\" height=\"912\" src=\"https:\/\/ceblog.s3.amazonaws.com\/wp-content\/uploads\/2017\/08\/10093811\/2-welcome-email.png\" alt=\"welcome email from MailChimp\" class=\"aligncenter size-full wp-image-31558\" srcset=\"https:\/\/ceblog.s3.amazonaws.com\/wp-content\/uploads\/2017\/08\/10093811\/2-welcome-email.png 683w, https:\/\/ceblog.s3.amazonaws.com\/wp-content\/uploads\/2017\/08\/10093811\/2-welcome-email-225x300.png 225w\" sizes=\"(max-width: 683px) 100vw, 683px\" \/><\/p>\n<h2>2. Log In Focused Welcome Emails<\/h2>\n<p>I found that a lot of SaaS products <strong>focus their first welcome email on a single CTA<\/strong> designed to get the user to log into the application.<\/p>\n<p>For example, CoSchedule sends you an email with just a welcome message and a big CTA to log into your account:<\/p>\n<p><img decoding=\"async\" width=\"672\" height=\"578\" src=\"https:\/\/ceblog.s3.amazonaws.com\/wp-content\/uploads\/2017\/08\/10093825\/coschedule-welcome-email.png\" alt=\"coschedule welcome email\" class=\"aligncenter size-full wp-image-31564\" srcset=\"https:\/\/ceblog.s3.amazonaws.com\/wp-content\/uploads\/2017\/08\/10093825\/coschedule-welcome-email.png 672w, https:\/\/ceblog.s3.amazonaws.com\/wp-content\/uploads\/2017\/08\/10093825\/coschedule-welcome-email-300x258.png 300w\" sizes=\"(max-width: 672px) 100vw, 672px\" \/><\/p>\n<p>These short, to-the-point emails are a great option when you put your onboarding efforts into a guided tour of the app once you log in.<\/p>\n<p>You can also add in some secondary links for common workflow task, as Active Campaign did:<\/p>\n<p><img decoding=\"async\" width=\"649\" height=\"893\" src=\"https:\/\/ceblog.s3.amazonaws.com\/wp-content\/uploads\/2017\/08\/10093816\/active-campaign-email.png\" alt=\"active campaign\" class=\"aligncenter size-full wp-image-31560\" srcset=\"https:\/\/ceblog.s3.amazonaws.com\/wp-content\/uploads\/2017\/08\/10093816\/active-campaign-email.png 649w, https:\/\/ceblog.s3.amazonaws.com\/wp-content\/uploads\/2017\/08\/10093816\/active-campaign-email-218x300.png 218w\" sizes=\"(max-width: 649px) 100vw, 649px\" \/><\/p>\n<h2>3. \u201cNext Step\u201d Focused Welcome Emails<\/h2>\n<p>One issue I have with the \u201clog into your account\u201d email is that it isn\u2019t always clear what the next action should be. Instead, a better approach can be to focus on a specific next step.<\/p>\n<p><a href=\"https:\/\/frontapp.com\">Front<\/a> focuses on inviting a teammate, which makes sense as the first step for a team inbox app. They also pair it with two customer success links but give them a lower priority in the design hierarchy.<\/p>\n<p><img decoding=\"async\" width=\"500\" height=\"670\" src=\"https:\/\/ceblog.s3.amazonaws.com\/wp-content\/uploads\/2017\/08\/10093831\/front-welcome-email.png\" alt=\"frontapp welcome email\" class=\"aligncenter size-full wp-image-31567\" srcset=\"https:\/\/ceblog.s3.amazonaws.com\/wp-content\/uploads\/2017\/08\/10093831\/front-welcome-email.png 500w, https:\/\/ceblog.s3.amazonaws.com\/wp-content\/uploads\/2017\/08\/10093831\/front-welcome-email-224x300.png 224w\" sizes=\"(max-width: 500px) 100vw, 500px\" \/><\/p>\n<p><a href=\"https:\/\/calendly.com\">Calendly\u2019s<\/a> welcome email is super short and concise. They give you a link that you can start sharing directly with others.<\/p>\n<p>You can share that link, and you\u2019ll start seeing Calendly meeting notifications popping up in your calendar.<\/p>\n<p><img decoding=\"async\" width=\"468\" height=\"188\" src=\"https:\/\/ceblog.s3.amazonaws.com\/wp-content\/uploads\/2017\/08\/10093821\/calendly-welcome-email.png\" alt=\"calendly welcome email\" class=\"aligncenter size-full wp-image-31562\" srcset=\"https:\/\/ceblog.s3.amazonaws.com\/wp-content\/uploads\/2017\/08\/10093821\/calendly-welcome-email.png 468w, https:\/\/ceblog.s3.amazonaws.com\/wp-content\/uploads\/2017\/08\/10093821\/calendly-welcome-email-300x121.png 300w\" sizes=\"(max-width: 468px) 100vw, 468px\" \/><\/p>\n<p>This email shows that the \u201cnext action\u201d doesn\u2019t always have to be something that your customers do in your SaaS product.<\/p>\n<h2>4. Welcome Emails Focused on Installing The Product<\/h2>\n<p>SaaS products will often need you to install some code on your website before you start seeing value from their product. For example, an analytics app can\u2019t show you data on your users unless you\u2019ve installed the tracking code.<\/p>\n<p>Therefore, a critical piece in getting customers to the <a href=\"https:\/\/www.crazyegg.com\/blog\/accelerate-product-adoption\/\">\u2018Aha moment<\/a>\u201d that convinces them of the product\u2019s value will be helping them install their code.<\/p>\n<p><a href=\"https:\/\/sumo.com\">Sumo<\/a>, in their typical relaxed copy style, sends a follow-up email on day two if you don\u2019t install your code. They include the actual snippet you need to include along with two secondary CTAs to a WordPress plugin and support documentation.<\/p>\n<p><img decoding=\"async\" width=\"579\" height=\"489\" src=\"https:\/\/ceblog.s3.amazonaws.com\/wp-content\/uploads\/2017\/08\/10093845\/sumo-welcome-email.png\" alt=\"SUMO welcome email\" class=\"aligncenter size-full wp-image-31573\" srcset=\"https:\/\/ceblog.s3.amazonaws.com\/wp-content\/uploads\/2017\/08\/10093845\/sumo-welcome-email.png 579w, https:\/\/ceblog.s3.amazonaws.com\/wp-content\/uploads\/2017\/08\/10093845\/sumo-welcome-email-300x253.png 300w\" sizes=\"(max-width: 579px) 100vw, 579px\" \/><\/p>\n<p><a href=\"https:\/\/rollbar.com\/\">Rollbar<\/a> is an error handling app for SaaS products. Installing Rollbar isn\u2019t just a matter of copy\/pasting a snippet. It\u2019s a much more involved process, so instead they link to their instructions for various different programming languages:<\/p>\n<p><img decoding=\"async\" width=\"594\" height=\"617\" src=\"https:\/\/ceblog.s3.amazonaws.com\/wp-content\/uploads\/2017\/08\/10093814\/3-welcome-email.png\" alt=\"rollbar welcome email\" class=\"aligncenter size-full wp-image-31559\" srcset=\"https:\/\/ceblog.s3.amazonaws.com\/wp-content\/uploads\/2017\/08\/10093814\/3-welcome-email.png 594w, https:\/\/ceblog.s3.amazonaws.com\/wp-content\/uploads\/2017\/08\/10093814\/3-welcome-email-289x300.png 289w\" sizes=\"(max-width: 594px) 100vw, 594px\" \/><\/p>\n<h2>5. The CEO Welcome Email<\/h2>\n<p>I first heard about this email from <a href=\"https:\/\/www.groovehq.com\/blog\/email-onboarding-optimization\">GrooveHQ<\/a>. In the \u201cCEO email\u201d, you send a personalized email from the CEO asking people to share why they signed up your product.<\/p>\n<p><img decoding=\"async\" width=\"485\" height=\"525\" src=\"https:\/\/ceblog.s3.amazonaws.com\/wp-content\/uploads\/2017\/08\/10093835\/groove-welcome-email.png\" alt=\"Groove welcome email\" class=\"aligncenter size-full wp-image-31569\" srcset=\"https:\/\/ceblog.s3.amazonaws.com\/wp-content\/uploads\/2017\/08\/10093835\/groove-welcome-email.png 485w, https:\/\/ceblog.s3.amazonaws.com\/wp-content\/uploads\/2017\/08\/10093835\/groove-welcome-email-277x300.png 277w\" sizes=\"(max-width: 485px) 100vw, 485px\" \/><\/p>\n<p>Alex Turnbull argues that it helps you establish a personal connection with your customers, gives you qualitative data on the drivers behind sign ups and lets you customize your high-touch emails sent by customer success reps.<\/p>\n<p>He also says that they get a 40% response rate to that email.<\/p>\n<p>Well, it turns out that they are not the only company to use this email.<\/p>\n<p><a href=\"https:\/\/www.proposify.biz\/\">Proposify<\/a> uses a similar template:<\/p>\n<p><img decoding=\"async\" width=\"526\" height=\"733\" src=\"https:\/\/ceblog.s3.amazonaws.com\/wp-content\/uploads\/2017\/08\/10093850\/welcome-email-proposify.png\" alt=\"proposify welcome email\" class=\"aligncenter size-full wp-image-31575\" srcset=\"https:\/\/ceblog.s3.amazonaws.com\/wp-content\/uploads\/2017\/08\/10093850\/welcome-email-proposify.png 526w, https:\/\/ceblog.s3.amazonaws.com\/wp-content\/uploads\/2017\/08\/10093850\/welcome-email-proposify-215x300.png 215w\" sizes=\"(max-width: 526px) 100vw, 526px\" \/><\/p>\n<p>George McQueen at <a href=\"https:\/\/accelo.com\/\">Accello<\/a> makes it really clear that you have a direct line with their CEO in this p.s. line:<\/p>\n<p><img decoding=\"async\" width=\"400\" height=\"120\" src=\"https:\/\/ceblog.s3.amazonaws.com\/wp-content\/uploads\/2017\/08\/10093833\/geoff-mcqueen-email.png\" alt=\"George McQueen P.S. line\" class=\"aligncenter size-full wp-image-31568\" srcset=\"https:\/\/ceblog.s3.amazonaws.com\/wp-content\/uploads\/2017\/08\/10093833\/geoff-mcqueen-email.png 400w, https:\/\/ceblog.s3.amazonaws.com\/wp-content\/uploads\/2017\/08\/10093833\/geoff-mcqueen-email-300x90.png 300w\" sizes=\"(max-width: 400px) 100vw, 400px\" \/><\/p>\n<p>The CEO email is <em>very<\/em> popular. In all, I received 57 \u201cemails from the CEO\u201d out of around the 618 SaaS companies.<\/p>\n<p>From personal experience working at <a href=\"https:\/\/plan.io\">Plan.io<\/a>, <strong>the email from the CEO was our highest performing email<\/strong> that received by far the most replies. It was also a great source of qualitative feedback as Alex Turnbull says.<\/p>\n<h2>6. \u201cDemo with a Sales Rep\u201d Emails<\/h2>\n<p>A large minority of the SaaS products funnel leads through a sales rep. That means you enter your email, name and some details on a form on the company\u2019s website, and then a sales rep reaches out to you to schedule a call.<\/p>\n<p>The reason for this is that more expensive software generally requires more interaction before prospects buy.<\/p>\n<p>I signed up for demos at 238 companies.<\/p>\n<p>The majority of the companies just sent fairly short emails asking for a good time for a call or providing a link to an appointment scheduling app such as Calendly.<\/p>\n<p>The email usually went something like this:<\/p>\n<p><img decoding=\"async\" width=\"660\" height=\"141\" src=\"https:\/\/ceblog.s3.amazonaws.com\/wp-content\/uploads\/2017\/08\/10093827\/email-from-james.png\" class=\"aligncenter size-full wp-image-31565\" srcset=\"https:\/\/ceblog.s3.amazonaws.com\/wp-content\/uploads\/2017\/08\/10093827\/email-from-james.png 660w, https:\/\/ceblog.s3.amazonaws.com\/wp-content\/uploads\/2017\/08\/10093827\/email-from-james-300x64.png 300w\" sizes=\"(max-width: 660px) 100vw, 660px\" \/><\/p>\n<p>Alexandre Gosset from <a href=\"https:\/\/mention.com\">Mention<\/a> went a step further, including this GIF in his email showing you <em>exactly <\/em>how to schedule a call:<\/p>\n<p><img decoding=\"async\" width=\"899\" height=\"506\" src=\"https:\/\/ceblog.s3.amazonaws.com\/wp-content\/uploads\/2017\/08\/10093838\/image8.gif\"  class=\"aligncenter size-full wp-image-31570\" \/><\/p>\n<p>This GIF reduces the cognitive load by <em>showing<\/em> people how easy it is to schedule a call at a time that suits them, rather than forcing them to figure out yet another appointment scheduling system.<\/p>\n<p>Katherine Mindigo from <a href=\"https:\/\/miva.com\">Miva<\/a> includes a link to a landing page on how their solution drives ROI 2x faster than the industry average. Surprisingly few sales development reps used this tactic of including customer success content such as case studies or ROI results in their emails.<\/p>\n<p><img decoding=\"async\" width=\"462\" height=\"184\" src=\"https:\/\/ceblog.s3.amazonaws.com\/wp-content\/uploads\/2017\/08\/10093843\/katie-email.png\" class=\"aligncenter size-full wp-image-31572\" srcset=\"https:\/\/ceblog.s3.amazonaws.com\/wp-content\/uploads\/2017\/08\/10093843\/katie-email.png 462w, https:\/\/ceblog.s3.amazonaws.com\/wp-content\/uploads\/2017\/08\/10093843\/katie-email-300x119.png 300w\" sizes=\"(max-width: 462px) 100vw, 462px\" \/><\/p>\n<p><a href=\"https:\/\/classy.org\">Classy<\/a> immediately sends an email letting you know that you\u2019ll hear from a sales rep soon. They also give you an overview of what you expect from the call and how the process will go from there. Finally, they add a link to find out about pricing.<\/p>\n<p><img decoding=\"async\" width=\"634\" height=\"604\" src=\"https:\/\/ceblog.s3.amazonaws.com\/wp-content\/uploads\/2017\/08\/10093847\/thanks-for-getting-in-touch.png\" alt=\"Thank You for getting in touch email\" class=\"aligncenter size-full wp-image-31574\" srcset=\"https:\/\/ceblog.s3.amazonaws.com\/wp-content\/uploads\/2017\/08\/10093847\/thanks-for-getting-in-touch.png 634w, https:\/\/ceblog.s3.amazonaws.com\/wp-content\/uploads\/2017\/08\/10093847\/thanks-for-getting-in-touch-300x286.png 300w\" sizes=\"(max-width: 634px) 100vw, 634px\" \/><\/p>\n<p>Classy doesn\u2019t just stop there. They also include a footer with a link to the Classy 100, a list of the top 100 fast-growing non-profits with insights into how they did it.<\/p>\n<p><img decoding=\"async\" width=\"580\" height=\"359\" src=\"https:\/\/ceblog.s3.amazonaws.com\/wp-content\/uploads\/2017\/08\/10093823\/classy-100-welcome-email.png\" class=\"aligncenter size-full wp-image-31563\" srcset=\"https:\/\/ceblog.s3.amazonaws.com\/wp-content\/uploads\/2017\/08\/10093823\/classy-100-welcome-email.png 580w, https:\/\/ceblog.s3.amazonaws.com\/wp-content\/uploads\/2017\/08\/10093823\/classy-100-welcome-email-300x186.png 300w\" sizes=\"(max-width: 580px) 100vw, 580px\" \/><\/p>\n<h2>Take Aways from over 1,000 Emails Received<\/h2>\n<p>It\u2019s clear that SaaS companies send a lot of emails as part of their sales and marketing process. If your prospects typically check out several solutions before deciding on one, bear in mind that they\u2019ll have a very busy inbox.<\/p>\n<p>One side-effect of all this email is that almost 50 companies ended up in the spam folder. It\u2019s important to make sure your emails follow best practices so you don\u2019t end up in the spam folder. If you\u2019re sending outreach cold emails, consider using a separate IP address and domain for those emails.<\/p>\n<p>At the same time, while I entered my phone number into hundreds of forms, I only received a handful of phone calls from sales reps, while those sales rep sent a lot of follow up emails asking for a time for a call.
